Organizing a memorial gathering or reception
Practical tips for planning a reception or memorial gathering: guest counts, timing, food, and keeping everyone informed.

Decide the basics
- When: right after the service, or a separate day when more people can travel
- Where: a home, community hall, place of worship, restaurant or park
- Who: close family only, or anyone who'd like to come
Estimate guest numbers
Asking for RSVPs, even informally, makes food and seating much easier to plan. Allow for some people who come without replying.
Keep everyone informed
Share one source of truth for the time, address and parking — and update it there if anything changes, so people aren't relying on an old message.
If some people can't attend, a livestream or a shared photo gallery afterward helps them feel included.
Small touches
- A table of photos or a slideshow
- Cards where guests can write a memory
- Printed programs or remembrance cards to take home
